Participating in a conference abroad
Grant for PhD candidates to participate in a conference abroad. Maximum grant amount: Europe € 750; outside Europe € 1,500.
PhD candidates affiliated with Leiden University or the LUMC.
- You must be enrolled at a Leiden University Graduate School.
- As a PhD candidate, you must not have previously received a LUF grant for a conference or study trip abroad.
- The conference (start date) must not precede the expenditure committee meeting.
- The conference attendance must fit within a faculty-recognised research project and be part of your PhD programme.
- You must make an active contribution to the conference in the form of a presentation, poster presentation or paper.
- Your faculty, department or institute must contribute at least a third of the total costs, thus confirming the importance of your conference participation. Other resources, such as project funds, may only be used for this purpose with the explicit approval of the faculty head, department or institute concerned.
- The following costs eligible:
- travel costs from Leiden or The Hague, including transfers
- visa costs
- overnight accommodation costs during the conference
- registration fees
- The grant does not cover the cost of meals, local transport and printing posters.
- You must submit a substantive report and financial account via the LUF Grant Portal within two months of the conference, after which the grant will be paid.
- Applications that contravene restrictive measures adopted by the government or Leiden University or that apply in the destination country (code orange or red) will not be considered.

- Application review: LUF Committee for Academic Expenditure (CWB).
- Submit your application via the LUF Grant Portal.
- Applications may be submitted in Dutch or English and must include justification of the application, a description of the theme of the conference and how it relates to your research, a summary of the programme (max. 150 words) and a budget.
- Required documents: your CV, a letter of recommendation from your PhD supervisor, proof you have been accepted to actively contribute to the conference, proof of financial support from your faculty, department or institute and proof of enrolment in a Leiden University Graduate School.
- You will be notified after the CWB’s application review meeting of whether your application was successful and if so, the grant amount awarded.

Study trip abroad
Grant for PhD candidates for a study trip abroad.
Maximum grant amount: € 2,000.
PhD candidates affiliated with Leiden University or the LUMC.
- You must be enrolled at a Leiden University Graduate School.
- As a PhD candidate, you must not have previously received a LUF grant for a conference or study trip abroad.
- The start date of the study trip must be no earlier than the expenditure committee meeting.
- The study trip fits within a faculty-recognised research project and is part of your PhD programme.
- Your own faculty, department or institute contributes at least one-third of the total costs, thus endorsing the study trip. Other resources, such as project funds, may be used for this purpose after explicit approval by the faculty head, department or institute concerned.
- There is a maximum fundable daily rate, depending on the destination, and an individual contribution of € 10 per day.
- The following costs are eligible:
- travel costs from Leiden or The Hague including transfers
- visa costs
- vaccinations
- accommodation
- local transportation
- living expenses
- entrance to host institution
- additional insurances
- You must submit a substantive report and a financial account via the LUF Grant Portal within two months of completing the study trip, after which the grant will be paid.
